Policies of the Chatelaine’s Office
A. Becoming a Chatelaine
- Send your SCA name, mundane name, address, phone# and e-mail (if you have it) to the Kingdom Chatelaine along with a letter of resignation from your predecessor (if your predecessor fell off the face of the earth, skip this step) and the signature of your Seneschal verifying the change in office.
- This office will use the roster system rather than individual warrants. Send any changes in status or address to the Kingdom Officer ASAP.
- Rosters will be updated on a regular basis and sent to all local chatelaines.
- Duties of a Chatelaine
- Be familiar with Corpora and SCA By-Laws and the East Kingdom Laws and Policies.
- Help organize and run demos to attract new members.
- Disseminate information about the SCA to prospective members at demos.
- Make newcomers feel at home in your group by introducing them to members and informing them of local meetings, practices, guilds, etc.
- Inform newcomers of upcoming events and help them get reservations so they can attend an event. Explain what they can expect to happen at the event and what they should take. If possible, introduce them to some people and explain what is happening at the tourney, court, etc. Encourage them to get involved in dancing, bardic circles or anything else that they are interested in.
- Help newcomers find, make or borrow garb and feast gear for their first event. Maintain "Gold Key" for available loaner gear.
- Be available to help and answer questions from newcomers.
- Work with the MOA/S, KM and other officers to help newcomers find areas of interest within the SCA.
- Recommend books that might be useful for general information and persona and costuming.
- Keep and update a list of local officers, artisans, peers, etc. who can offer help and answer questions you can’t.
- Keep and update a list of good local sources for fabric, feast gear, books and other necessities and also East Kingdom sources for garb, armor, bows, and other finished products.
- File reports with the Kingdom Chatelaine (Principality Chatelaine if you live in a Principality) quarterly.
- Answer all mail on a timely basis. Timely is defined as 10 business days.
- Appoint and supervise any deputies you might need to fulfill the above.
- If you have a problem you can’t handle, ask for help.
- Reports
Reports are due by April 10, July 10, October 10 and January 10. Please prepare and mail them to allow sufficient time for postal delivery by the due date. Reports may be in any form with which you are comfortable: however, they must include:
- Group name, SCA name, mundane name, address, phone#, e-mail address (if you have one) and date of report.
- How many demos, newcomer’s meetings, etc. you have held and how many newcomers or prospective newcomers attended.
- Any media coverage or any other publicity.
- Any special events or projects that you have been involved in.
- Any questions, problems, ideas.
