Do you have a great idea for an event but are worried that there are logistical issues and society requirements that you don’t know or don’t understand? Come and meet some of the East Kingdom’s experts at 'A Colloquium for Autocrats' – a look at everything you need to know to run events for the SCA hosted by the Barony of Carolingia.

Because our presenters will utilize modern tools while covering their topics, the colloquium is considered a demo and attendees should wear modern dress.  Pre-registration is requested so we can gauge the level of interest and space needs.  Presentations will run from 10am to 5pm.  Our presenters and their topics are:

Real World and SCA Laws – What you need to know as an autocrat about dealing with SCA and real world laws.  Mistress Katherine Barr is a former Kingdom Seneschale and currently works as an intellectual property paralegal with a background in contract work.

Food:  Options and Considerations – What an autocrat needs to know about dayboards and feasts at events.  Meister Dietrich is a veteran of many feasts, a Laurel for cooking and a professionally trained chef.

Registration and Gate – Keeping accurate reservation records and an efficient check-in are essential to the start of an event and creating an accurate report afterwards.  Mistress Eleanor Catlyng has run both reservations and gate for countless events of all sizes.

Guide to Jewish Holidays – Which Jewish holidays is it important to avoid? Lord Gundormr Dengir does an overview of the Jewish holidays for those who don’t understand them.  “If you don't know what Goyim means, it means you.”

Publicizing Events - Today an autocrat has a wide variety of powerful tools available to publicize your event.  Let's talk about how to make sure you are choosing the right tools to get the word out, and that you are sending out the messages that you intend to send.  Baroness Anastasia Guta OP has been the autocrat of Great Northeastern War seven times, is a former East Kingdom MoL, and currently serves as one of the editors for the East Kingdom Gazette.  In her 20th century life, Anne Washburne uses social media to build engagement and raise money for a mid-size private University in Southern Maine. 

Making New People Welcome – Recruitment and retention are key to the health of the SCA.  How can an autocrat make new people feel more welcome? Lady Aaradyn Ghyoot is Chatelaine for Carolingia.

Considerations for Children – What are the best ways to incorporate children into events and what rules do you need to know about their activities.  Mistress Leonete d’Angley is East Kingdom Chancellor Minor and has participated in the SCA since she was a child.

Special Needs – Accessibility issues and food allergies are two needs that an autocrat needs to consider.  How can and should you take these into account when planning? Mistress Eleanor Catlyng is mundanely a special education teacher at the high school level who provides strategies for her students and others on how to deal with these issues.

Hotel Events – Hotel events provide a way for weekend events to be held in the East during cold weather, but they are intimidating to most autocrats.  What do you need to know to run one? Mistress Fia Kareman has been autocrat of Birka twice and is the current Autocrat.  In addition to taking place in a hotel, Birka is the largest event in the East.

Camping Events – Camping events create their own set of challenges in both mechanical infrastructure and staffing.  To run a successful event an autocrat needs to be aware of these challenges and have strategies for overcoming them.  Lord Ulfr Steinsson is a three time former autocrat of Northern Region War Camp in Glen Linn.

From 128 North / South
Take Route 2 East to the exit marked "Route 60 Arlington." At the bottom of the ramp turn left onto Route 60 / Pleasant St.  Stay on Pleasant St.  until it intersects Mass Ave.  in the center of Arlington.  First Parish is the white church on your left

Via Public Transportation
The 77 bus from from Harvard or Porter Square runs down Mass Ave on the weekends.  The 350 runs from Alewife and stops within walking distance of the church.

Arlington has two public parking lots in the vicinity, and parking is available on residential streets.  Main arteries have time limits on parking, but side streets do not. 

Registration Fees

Registration:
Site fee is $10 for SCA members with the member discount.  Non-members pay $15.  Registrations must be received by November 1.  Walk in registrations will be accepted if space is available but will not include a lunch option.  We request that reservations be made in advance if possible to determine the level of interest and space requirements.  Children under the age of 18 are free, but minors are expected to participate in presentations and should not be unattended.  Thank you!

Feast:
If attendees register by November 1, we are offering the option of a take-in lunch for an additional fee of $12.  The lunch will include a wrap, fruit, chips and water.  (Registrants will be contacted about their options.) Lunches cannot be ordered on the day of the event.
